- We use the sound of your event only to make captions and voices, and to let you look back at it.
- Recordings and text belong to the event organizer. Only the organizer can play them back, and they can delete them at any time.
- We do not sell personal information, we do not show ads, and our website uses no tracking cookies.
- Guests do not need an account. We do not ask for their name.
1. Who we are
oversound.ai is run by AURUM DAYS LLC, a company in California, USA (“oversound”, “we”, “us”). If you have a question about privacy, write to [email protected].
2. Who this policy is about
- Organizers — the companies and people who use oversound for their events, and the speakers they invite.
- Guests — the people at an event who listen or read on their phone, tablet or a big screen.
- Visitors — anyone who visits oversound.ai or writes to us.
For the sound and text of an event, we work on behalf of the organizer: the organizer decides to use oversound and what happens to the recordings, and we follow their instructions (in some laws this makes us a “processor” or “service provider”). For our website and for our own customer records, we decide how information is used.
3. What we collect, why, and for how long
| What | Why we use it | How long we keep it |
|---|---|---|
| The speaker's audio during an event | To turn speech into text, translate it, and make the translated voice. | Kept as part of the event's recording (see the next row), unless the organizer asks us to turn recording off. |
| The event's recording, its text in every language, and the voice clips we made | So the organizer can read and play back the event, and so we can fix problems the organizer reports. | We keep only the most recent 15 live events and the most recent 5 uploaded recordings; older ones are deleted automatically. The organizer can delete any of them sooner. To save space, the audio of older events can be removed before their text. |
| Recordings an organizer uploads | To translate them after the event. | As above. |
| Names, words and facts the organizer gives us (for example brand names and speakers' names) | So names and terms come out right. | Until the organizer asks us to change or remove them, or stops using oversound. |
| For guests: the language they choose, their device and browser type, their IP address, and when they connect | To send captions and voice to the right phone, and to keep the service working and safe. | Only briefly, in our server's short logs. We do not link it to a name. |
| Organizer contact details and anything you write to us | To answer you, plan your event and send invoices. | As long as we need it for your events and as the law requires for business records. |
| How much the service was used (hours, languages) | For billing and to understand our costs. | As the law requires for business records. |
4. How the AI part works
Speech becomes text, the text is translated, and the translation is read aloud by a computer voice. All of this happens automatically, using AI services we hire for each step: speech recognition, translation and voice. They receive what they need to do their step, only to provide the service to you.
- We do not use the content of your events to train our own AI models.
- We do not copy or clone anyone's voice. The voices guests hear are ready-made computer voices.
- Captions and voices are made by AI and can contain mistakes. Please see our Terms.
- Our team may look at an event's text and recording to fix a problem or improve quality for that organizer.
5. Who else handles information
We use trusted companies to run oversound. They may only use information to provide their service to us:
- cloud hosting, where the service runs and recordings are stored;
- speech recognition, AI translation and AI voice services;
- website hosting, domain and network services;
- email.
Our website loads its fonts from Google Fonts, so your browser connects to Google's servers when you visit. We will share the current list of the companies we use on request. We may also share information if the law requires it, or to protect people's safety or our rights.
Information may be handled in the United States and in other countries where these companies work.
6. Cookies and similar things
- Our website uses no cookies, no ads and no tracking or analytics tools.
- The organizer's pages (for the person running the event) use one cookie to keep them signed in, and remember settings like the chosen microphone on their own computer. These are needed for the service to work.
- Guests' pages do not use cookies and store nothing on the guest's phone. The chosen language is part of the link.
7. Keeping information safe
The organizer's pages and recordings are protected by passwords, and everything travels over encrypted connections (HTTPS). Only people who need it for their work can reach the data. No system is perfectly safe, but we work to protect yours and will tell affected organizers without delay if something goes wrong.
8. Your choices and rights
You can ask us to show you, correct, or delete personal information we hold about you, or to send you a copy. Write to [email protected]. We may need to check who you are first. We will not treat you differently for asking.
- Guests and speakers: because event recordings belong to the organizer, please ask the organizer first. We will help them answer you.
- California residents have the right to know, delete and correct personal information, and to opt out of its sale or sharing. We do not sell or share personal information for advertising.
- People in the EU, the UK and Korea have similar rights under their laws, and may also complain to their data protection authority.
9. Children
oversound is not meant for children to sign up for. Children may be guests at an event; the organizer is responsible for any consent their event needs.
10. Changes
If we change this policy, we will update the date at the top. If a change is important, we will tell organizers before it takes effect.
